  • Recent immunization records either vaccination titers or vaccination history signed by a physician (with proof of COVID-19 vaccines and Influenza shots)
  • COVID-19 RTPCR test results at least 48-72 hours prior to the start date or date of arrival
  • Professional attire
  • Access to high-speed internet and devices like iPad/phones for using software apps like Zoom etc.
  • Availability during the regular office hours

Terms & Conditions

  • GENERAL POLICY
    • All rotation fees and application fees are non-refundable and non-transferable.
    • The application fee will be due at the time of booking the spot.
    • The rotation fee will be due 90 days before the start date of the rotation.
    • Applicants must fill out the application on Jotform to complete their book dates. (Application for US Clinical Rotation: https://form.jotform.com/220615848271154)
    • Please talk to our coordinator regarding available spots for specific months before filling out the Jotform.
    • All documents must be completely uploaded at the time of application.
    • Failure to submit the documents will lead to the automatic cancellation of your rotation.
    • Rotations will start on the first day of the month and end on the last day of the month of business days (Monday-Friday).
    • In case applicants have issues regarding flight delays: (1) Applicants can join their monthly rotation as soon as they land in the US; (2) Last day of rotation will still be the same as the initial booking; and (3) No extra days will be compensated by IFMGE or Hospitals (4) It is applicant's responsibility to plan their travel well in advance in order to start their rotations on their booked dates
       
  • INVITATION LETTER POLICY
    • An invitation letter will only be provided upon completion of the application fee.
    • We do provide an invitation letter for your visitor visa (B1/B2) application or port of entry arrival.
    • Your invitation letter is a supporting document during your visa interview, along with your other supporting documents.
    • An invitation letter will be shared with the applicant within 7 business days of completing the application.
    • Two  documents are required to receive the invitation letter: (1) a Passport copy; (2) a Graduation certificate (if you are a medical graduate); or (3) a Letter from your college Dean mentioning your expected month and year of graduation (if you are a medical student)
       
  • LETTERS OF RECOMMENDATION POLICY
    • Letters of Recommendation (LoR) will be issued based on performance on the merit of the individual.
    • Applicants can either submit an LoR draft or take the LoR drafting service.
    • Attendings reserve the right to edit the LoR according to their experience with the applicant.
    • If you choose to draft your LoR by yourself, then your LoR draft must be submitted to our coordinator within 2 weeks of completion of the rotation.
    • If you choose LoR drafting service from IFMGE then request it at least 1 week prior to the rotation start date and get the LoR checklist. This will facilitate the drafting of a strong personalized LoR by our team. In this circumstance, please submit the completed LoR checklist to our coordinator within 2 weeks of completion of the rotation.
    • LoR request from applicant: You can request the LoR as soon as the ERAS season begins (First Week of June).
    • LoR uploads from faculties: LoR will be uploaded within 2 weeks of receiving email requests from applicants. Send your Name, Faculty Name, Date of rotation, PDF LoR request, and CV to the IFMGE WhatsApp number as well. So we can contact and remind faculties to upload LoR as soon as possible.
    • Rotations in September and October: These months are very hectic for all of us so if your rotation is planned during this period then we encourage you to get an ongoing rotation LoR as soon as a significant portion of the rotation completes if you are submitting your ERAS application on day 1.
       
  • CANCELLATION & REFUND POLICY
    • All rotation fees and application fees are non-refundable and non-transferable.
    • Rotation fees can only be exchanged for the same or other rotations, depending on availability.
    • The policies will also apply to all applicants, including those with US visa rejections or COVID-19 positives.
    • In case any applicant becomes COVID-19 positive a few days prior to the beginning date of rotation, upon COVID-19 negative test, an applicant will be allowed to join the same rotation, but the month or first and last date of rotation will not be changed. In these circumstances, the hospital or IFMGE will not take on the responsibility of having 4 weeks of completion or provide other alternative days or places of rotation.
    • Cancellation of current rotation and Exchange within 90 days from the beginning of rotation: Not Possible
    • Cancellation of current rotation and Exchange more than 90 days from the beginning of rotation: One-time exchange with full transfer of application fees
    • We can only accommodate one-time cancellations and exchanges per applicant.
       
  • HOUSING POLICY
    • Housing is mandatory for the students rotating at the following locations due to its proximity to hospitals and safety issues:

    • As soon as the rotation is confirmed, please submit the deposit and necessary documents for securing housing before paying the final payment for the rotation.

Yes, our hospital partners will provide an "Invitation letter and/or Visa support letter" on hospital letterhead. In the absence of a hospital letter, our lawyer will draft a sponsorship letter and it will be provided under our non-profit educational organization letterhead.
