GENERAL POLICY
-
The application fee covers the following services:
- Application processing
- Reservation confirmation
- Hospital invitation letter (visa support)
- Acceptance letter (port-of-entry support)
- Hospital badge (if required)
- Self-paced clinical research program
- Conference and/or Publication submission (Article Processing Cost) support
- Letter of Recommendation (LoR) drafting and processing
- The application and rotation fees are due at least 60 days before the rotation start date and are non-refundable and non-transferable to (a) another applicant or (b) another institution.
- However, they may be transferred one-time to a different month at the same institution, subject to availability. Any transfer request must be submitted at least 60 days before the original rotation start date to allow sufficient time for the spot to be released and reassigned.
- Reservation confirmation through payment of the application fee is conditional upon payment of the remaining rotation fees no later than 60 days before the rotation start date.
- Applicants must complete and submit an individual Jotform application for the specific rotation for which they are applying.
- Please talk to our coordinator regarding available spots for specific months before filling out the Jotform.
- All documents must be completely uploaded at the time of application.
- Rotations will be 4 weeks in duration and start on the first day of the month and end on the last day of the month, excluding weekends. (Monday-Friday).
- The acceptance email for the hospital rotation will be provided at no additional cost after completion of the successful application, along with full payment, which shall be used for the US port-of-entry arrival.
- In case applicants have issues regarding flight delays: (1) Applicants can join their monthly rotation as soon as they land in the US; (2) Last day of rotation will still be the same as the initial booking; and (3) No extra days will be compensated; (4) It is applicant’s responsibility to plan their travel well in advance to start their rotations on their booked dates
HOSPITAL INVITATION LETTER FOR THE US VISITOR VISA INTERVIEW
- A hospital invitation letter for the US visitor visa interview will be provided upon completion of the application on Jotform, “Visa Application Support for US Clinical Rotation.”
- Visa application support fees are non-refundable. However, these fees may be credited toward the application fee, thereby reducing the overall cost of the program.
- An invitation letter will be shared with the applicant within 2 weeks of the application being completed.
- We recommend applying for and keeping at least two hospital acceptance letters at the time of the visa interview appointment to secure the visa.
LETTERS OF RECOMMENDATION POLICY
- Letters of Recommendation (LoR) will be issued based on performance on the merit of the individual.
- Applicants can request the Clinical Rotation LoR Checklist from IFMGE. This will help our team draft a strong personalized LoR.
- Please submit the completed LoR checklist to our coordinator within 2 weeks of completion of the rotation.
- LoR request from applicant: You can request the LoR as soon as the ERAS season begins (first week of June).
- LoR uploads from faculties: LoR will be uploaded within 2 weeks of receiving email requests from applicants. Send your name, faculty name, date of rotation, AAMC LoR request (PDF), and CV to the IFMGE WhatsApp number as well. So we can contact and remind faculty to upload LoR as soon as possible.
- Rotations in September and October: These months are very hectic for all of us, so if your rotation is planned during this period, then we encourage you to get an ongoing rotation LoR as soon as a significant portion of the rotation is completed, if you are submitting your ERAS application on day 1.
CANCELLATION & REFUND POLICY
- The application and rotation fees are due at least 60 days before the rotation start date and are non-refundable and non-transferable to (a) another applicant or (b) another institution.
- However, they may be transferred one-time to a different month at the same institution, subject to availability. Any transfer request must be submitted at least 60 days before the original rotation start date to allow sufficient time for the spot to be released and reassigned.
- If the applicant fails to reschedule, the fees will be confiscated, and the applicant will not be allowed to pursue the same rotation in the future. Please plan the changes.
- It is highly recommended to pay the rotation fees once you are 100% sure about the month of rotation.
- In case any applicant joins late in the middle of the decided month due to any circumstances like postponing USMLE, flight cancellations, or becoming COVID-19 positive a few days before the beginning date of rotation, the month or the first and last dates of rotation will not be changed. In these circumstances, the hospital or IFMGE will not take on the responsibility of having 4 weeks of completion or provide other alternative days for rotation. (You can ask a favor from the faculty for this exception once you meet him/her in person.)
- These policies will apply to all applicants under any circumstances, including postponement of USMLE exams, changes in career plans, COVID-19 positivity, or other situations.
- US Visa Rejection Policy: Visa application support fees are non-refundable.
HOUSING POLICY

- As soon as the rotation is confirmed, please submit the deposit and necessary documents for securing housing after making the final payment for the rotation.
- We only recommend and list the housing; housing policies are being regulated by different companies and not by IFMGE.
FAQ's
What is the difference between a clerkship, an externship, and an observership or Shadowing?
- Clerkship typically done during MSY-3 and MSY-4 (Medical School Year 3 and 4) is a period of clinical training for medical students, during which they work in hospitals or clinics under the supervision of physicians to gain hands-on experience in patient care.

Externship typically done during Active Internship allows limited hands-on clinical exposure under supervision (depending on hospital policies).

Observership or Shadowing typically done Post-Internship by International Medical Graduates (IMGs) and is strictly observational — participants shadow physicians, attend rounds, conferences, and clinical activities but do not perform direct patient care.
What is the difference between Elective vs Non-Elective (Required) Rotations in Medical School?
- Elective Rotation: A rotation chosen by the student based on personal interests or career goals (e.g., Cardiology, Hematology-Oncology, ICU, Neurosurgery, Stroke, etc.).
- Non-Elective (Required/Core) Rotation: A mandatory rotation required by the medical school as part of the core curriculum (e.g., Internal Medicine, Surgery, Pediatrics, OB/GYN, Psychiatry, and Family Medicine).
Who is eligible to apply?

Medical students and International medical graduates (or students nearing graduation, depending on the program) who have completed or are completing medical training.

Applicants must typically provide proof of medical school enrollment/completion, transcripts, immunization records, passport, etc.

Some rotations may require USMLE/other exam scores.

How do I apply, and what is the application deadline?

Refund Policy for Clinical Rotations

In the event of multiple U.S. visa rejections, the applicant may transfer their application to a tele-rotation program with the application fee applied toward that program, or request a refund of the application fee subject to a $100 administrative deduction along with $200 hospital invitation letter fee (upon submission of proof of rejections).
Do we provide invite letter for Visa or USCIS purpose?
Yes, our hospital partners will provide an “Invitation letter and/or Visa support letter” on hospital letterhead.
